The Aftercare Academy Ltd
These Terms and Conditions govern your purchase of, access to, and participation in training, workshops, online courses, digital products, mentoring, and related services provided by The Aftercare Academy Ltd.
By booking a course, purchasing training, accessing course materials, attending a workshop, joining an online programme, or using any digital content provided by The Aftercare Academy, you confirm that you have read, understood, and agree to these Terms and Conditions.

Payment plans: Course fees must be paid in full before training begins unless The Aftercare Academy has approved a written payment plan. Where a payment plan continues beyond the workshop dates, the student remains responsible for completing all remaining payments according to the agreed schedule.

Instalments are not pay-as-you-go. Instalments are a way of spreading the cost of the course or workshop. They do not remove the obligation to pay the full agreed fee.

Missed payments: Missed or failed payments may result in suspended access to course materials, graduate support, mentorship calls, certificates, continuing education documentation, and other training benefits. A £100 administration fee may be charged if reactivation or manual account administration is required.

Online theory access: Unless otherwise stated at the time of booking, access to online theory is provided for 12 months from the date of enrolment. Continued access may be available through a monthly subscription or access extension fee.

Instalment access to online theory: Students paying in instalments receive access to online theory 60 days before the workshop they are attending, or once their instalments have covered the RRP of the online theory, currently £1100, whichever comes first.

Online theory upgrade: If you purchase the Online Theory training as a standalone product, you have 6 months from the date of purchase to upgrade to the corresponding 5-day workshop for a fixed upgrade fee of £1799. After 6 months, upgrade requests will be subject to the current full workshop price.

Cancellations:

Cancel more than 8 weeks before a workshop: payments made, excluding the deposit, may be transferred to another training date within 12 months, subject to availability and approval.

Cancel less than 8 weeks before a workshop: all payments are non-refundable and non-transferable.

Failure to attend without notice results in full forfeiture of fees.

Online and digital materials: Once online theory, course materials, manuals, recordings, downloadable resources, or other digital training materials have been accessed or released, no refunds or deferrals are permitted, except where required by law.

Academy cancellations: If The Aftercare Academy cancels a workshop and does not offer a suitable replacement date, you may choose to transfer your booking or receive a refund of payments made to The Aftercare Academy. We are not responsible for travel, accommodation, visa, insurance, or other personal costs.

Travel and accommodation: Please do not book non-refundable or non-transferable travel or accommodation before your workshop has been confirmed as proceeding. Any travel, accommodation, visa, insurance, or other personal costs are your responsibility.

International students: You are responsible for arranging your own visa, travel documents, travel insurance, professional insurance, and any local licensing requirements. No refunds or deferrals will be given if you are unable to attend due to visa or immigration issues.

Certificates: Certificates are awarded only after full attendance, completion of required learning, passing required assessments, and payment of all course fees in full.

Assessment deadline: If requested written, observational, or practical video assessments are not submitted within 4 weeks of the final day of the workshop, certification eligibility will lapse.

Insurance: You are responsible for checking whether your insurer, professional association, licensing board, employer, or regulatory body recognises the training and will cover you to practise within your scope of practice.

Professional conduct: Respectful, safe, and professional behaviour is required. We may remove a student from training without refund if their behaviour is unsafe, inappropriate, disruptive, or breaches confidentiality.

Course materials: Course materials are for your personal study and professional reference only. They must not be copied, shared, resold, uploaded, reproduced, adapted, or used to train others without written permission.

Media: Training may occasionally be photographed or recorded. You must tell us in writing before your course if you do not wish to be included.

Governing law: The Aftercare Academy is based in Northern Ireland. These Terms and Conditions are governed by Northern Ireland law. For overseas workshops, local laws may also apply.
1. Payments, Deposits, and Refunds
All deposits are strictly non-refundable.
Course fees must be paid in full before training begins unless The Aftercare Academy has approved a written payment plan.
Where a written payment plan has been approved, the student remains responsible for paying the full agreed course or workshop fee according to the agreed payment schedule.
Home-study, online courses, and standalone digital products must be paid in full before access is granted unless The Aftercare Academy has agreed otherwise in writing.
Once online theory, course materials, manuals, recordings, downloadable resources, or other digital training materials have been accessed or released, no refunds or deferrals are permitted, except where required by law.
Once a course or workshop has commenced, no refunds will be issued.
Only one discount, promotion, or special offer can be applied per booking. Offers cannot be combined unless The Aftercare Academy agrees otherwise in writing.
2. Instalment Plans and Extended Payment Plans
Instalment plans are offered at the discretion of The Aftercare Academy and must be agreed in writing.
Instalments are a way of spreading the cost of the course or workshop. They do not make the course or workshop a pay-as-you-go arrangement.
Where a payment plan is agreed, the student remains responsible for paying the full course or workshop fee according to the agreed payment schedule.
Course fees must be paid in full before training begins unless The Aftercare Academy has approved a written payment plan.
Where a payment plan continues beyond the final day of the workshop, the student remains responsible for paying all remaining instalments after the workshop has taken place.
Attendance at a workshop, access to online theory, access to course materials, participation in practical training, or completion of in-person teaching does not cancel, reduce, or remove the obligation to complete all remaining payments.
Cancellation, withdrawal, non-attendance, dissatisfaction, change of circumstances, illness, financial difficulty, or a decision not to use the training professionally does not remove the obligation to pay the remaining balance, except where otherwise required by law.
Instalments must be paid on the agreed recurring payment date, whether this is the 1st or 15th of each month, or another recurring date agreed in writing.
The Aftercare Academy may require students on payment plans to keep an active payment method on file or maintain an agreed direct debit, standing order, recurring card payment, or other approved payment arrangement until the balance has been paid in full.
If a scheduled payment fails, The Aftercare Academy may suspend access to course materials, online theory, graduate support, community access, mentorship calls, certification documents, continuing education documentation, and any other training benefits until the account is brought up to date.
A £100 administration fee may be charged if reactivation of access or manual account administration is required.
If a payment fails, the student must arrange payment promptly. If payments remain outstanding after two reminders, The Aftercare Academy may cancel the student’s enrolment or any remaining training benefits, with no entitlement to a refund of amounts already paid.
Where the student has already accessed training, received course materials, attended teaching, or participated in a workshop, the outstanding balance remains payable unless otherwise agreed in writing.
Students on payment plans may not receive certificates, continuing education documentation, approval-related completion records, or other completion documentation until all course fees have been paid in full, unless The Aftercare Academy agrees otherwise in writing.
3. Online Theory Upgrade Option
If you purchase the Online Theory training as a standalone product, you have 6 months from the date of purchase to upgrade to the corresponding 5-day workshop for a fixed upgrade fee of £1799.
After these 6 months, upgrade requests will be subject to the current full workshop price.
Upgrade places are subject to availability, suitability, prerequisite requirements, workshop capacity, and acceptance by The Aftercare Academy.
The Online Theory training is designed to provide essential background learning. It does not replace the in-person practical training, assessment, or certification requirements of the full workshop.
4. Price Changes
The Aftercare Academy reserves the right to adjust prices of unsold workshops, retreats, online courses, digital products, mentoring, or related services to reflect external costs. These may include, but are not limited to, travel, accommodation, venue hire, clinic costs, materials, printing, fuel, exchange rates, taxes, or supplier costs.
Price changes will not affect bookings already confirmed and paid, unless a payment plan or special arrangement states otherwise in writing.
Where adjustments are made, The Aftercare Academy will aim to provide reasonable notice before new prices come into effect.
5. Bookings and Receipts
Bookings may be made online through The Aftercare Academy website, through an approved payment link, or through another agreed registration process.
Each booking must be made separately unless a multi-course invoice or group booking has been arranged directly with The Aftercare Academy.
Confirmation and receipts are issued automatically for online bookings where available. For bank transfers or manual payments, a receipt can be provided upon request.
A student’s place is not confirmed until The Aftercare Academy has reviewed and accepted the student’s registration, including any required prerequisite documentation.
The Aftercare Academy reserves the right to refuse or cancel a booking if the student does not meet the stated prerequisites, has provided inaccurate information, has not supplied required documentation, or is not considered suitable for the course or workshop.
Payment terms, payment plans, instalment arrangements, and financial obligations are set out separately in these Terms and Conditions and in any written payment agreement issued to the student.
6. International Students, Visas, and Immigration Requirements
Students travelling from outside the country where the workshop is held are responsible for ensuring that they have the correct passport, visa, entry documents, travel permissions, insurance, licensing, and any other documentation required to attend the workshop.
The Aftercare Academy cannot advise on immigration matters and cannot be held responsible for denied entry, visa refusals, travel disruption, border decisions, or failure to meet entry requirements.
No refunds or deferrals will be given if a student is unable to attend due to visa, immigration, travel documentation, or border-entry issues.
Students are strongly advised to arrange comprehensive travel insurance to cover unforeseen circumstances.
Students should not book non-refundable or non-transferable travel or accommodation before the workshop has been confirmed as proceeding. If a student chooses to book non-refundable or non-transferable travel or accommodation, they do so at their own risk.
The Aftercare Academy is not liable for travel, accommodation, visa, insurance, loss of earnings, or other personal costs incurred by students.
7. Cancellation Policy
Student Cancellations
Cancellations must be made in writing by email.
Deposits are strictly non-refundable.
If a student cancels more than 8 weeks before the workshop, payments made, excluding the deposit, may be transferred to a future training date within 12 months, subject to availability and approval by The Aftercare Academy.
If a student cancels less than 8 weeks before the workshop, all payments are non-refundable and non-transferable.
Failure to attend a course or workshop without notice will result in full forfeiture of fees.
Once online theory, course materials, manuals, recordings, downloadable resources, or other digital training materials have been accessed or released, no refunds or deferrals are permitted, except where required by law.
Academy Cancellations
The Aftercare Academy reserves the right to cancel, postpone, reschedule, or relocate workshops where necessary. This may include, but is not limited to:

Insufficient student numbers

Tutor, instructor, surgeon, or clinic illness or emergency

Surgeon or clinic availability changes

Venue cancellation or disruption

Travel disruption

Safety concerns

Circumstances beyond the reasonable control of The Aftercare Academy
If The Aftercare Academy cancels a workshop and does not offer a suitable replacement date, the student may choose to transfer their booking to a new date, subject to availability, or receive a refund of payments made to The Aftercare Academy.
The Aftercare Academy is not liable for travel, accommodation, visa, insurance, loss of earnings, or other personal costs incurred by students due to cancellation, postponement, rescheduling, or relocation.
8. Course Amendments, Transfers, and Deferrals
Requests to amend course details, transfer to another workshop, or defer attendance are subject to approval by The Aftercare Academy and may incur administrative fees.
The following fees may apply:

£100 for changes of course date, transfer, or deferral
A transfer or deferral is not confirmed until agreed in writing by The Aftercare Academy.
Transfers are subject to availability, suitability, prerequisite requirements, venue capacity, and any difference in course or workshop fee.
Once online theory, course materials, manuals, recordings, downloadable resources, or other digital training materials have been accessed or released, no refunds or deferrals are permitted, except where required by law.
9. Access to Course Materials and Online Content
Access to digital course content is time-limited.
Unless otherwise stated at the time of booking, access to online theory is provided for 12 months from the date of enrolment.
Students who pay in full receive access to the online theory after enrolment has been accepted and payment has been received.
Students paying by instalment receive access to the online theory 60 days before the workshop they are attending, or once their instalments have covered the RRP of the online theory, currently £1100, whichever comes first.
After the initial 12-month access period has expired, continued access may be available through a monthly membership, subscription, or access extension fee. The current continuation fee is £49.99 per month, unless otherwise stated at the time.
The student may cancel this optional subscription at any time. It is the student’s responsibility to cancel any optional subscription when they no longer wish to continue access.
Access to online course materials is for the registered student only. Login details, videos, manuals, downloadable materials, and course resources must not be shared with any other person.
The Aftercare Academy reserves the right to suspend or remove access if a student breaches these Terms and Conditions, shares access details, misuses course materials, or falls behind on an approved payment plan.
10. Insurance and Professional Recognition
Students are responsible for ensuring that their existing insurance provider recognises the training they are undertaking and will cover them to practise within their professional scope of practice.
The Aftercare Academy cannot guarantee insurer acceptance of any qualification, certificate, continuing education record, or training documentation.
Students are advised to arrange appropriate student insurance during training and case study work, where required.
Students are responsible for verifying whether the training meets local, national, professional, licensing, or regulatory requirements in their country, state, or region of practice.
Continuing education recognition can vary by country, state, professional body, licence type, and individual circumstances.
Where a course or workshop is approved by professional or continuing education bodies, including but not limited to FHT, NCBTMB, or CE Broker, The Aftercare Academy will provide relevant completion documentation where applicable. Acceptance by every external organisation cannot be guaranteed.
11. Student Responsibilities
Students must be physically fit to undertake training and must disclose any relevant health conditions, contraindications, injuries, disabilities, pregnancy, recent surgery, medication, or other factors that may affect their ability to participate safely.
Students must complete the required online theory, assignments, case studies, written assessments, practical assessments, observational assessments, and video submissions by the stated deadlines unless an extension has been granted in writing.
Students must practise within their own professional scope of practice, competence, insurance cover, and local legal or regulatory requirements.
Students are responsible for applying training appropriately in their own practice setting.
Failure to comply with deadlines, assessment standards, professional behaviour expectations, confidentiality requirements, or payment obligations may result in termination of enrolment without refund.
Students should not book non-refundable or non-transferable travel or accommodation before the workshop has been confirmed as proceeding. The Aftercare Academy will not be responsible for any loss of expenses if a workshop is unable to proceed due to insufficient numbers or other circumstances.
12. Behaviour and Professional Conduct
Students are expected to behave respectfully, professionally, and ethically at all times.
Disruptive, abusive, unsafe, discriminatory, intimidating, or inappropriate conduct may result in immediate removal from the course or workshop without refund.
The Aftercare Academy reserves the right to refuse admission to, or terminate enrolment of, any student where there are concerns about professional conduct, safety, suitability, confidentiality, prerequisite requirements, non-payment, or misuse of course materials.
Students must follow all safety, hygiene, infection control, venue, clinic, theatre, and professional conduct requirements during training.
Where training involves clinic-based learning, live surgery observation, surgeon-led teaching, demonstration patients, or patient contact, students must respect patient dignity, consent, privacy, and confidentiality at all times.
Any breach of patient confidentiality, clinic policy, or professional conduct expectations may result in immediate removal from the workshop without refund.
13. Certification
Certificates of Completion are awarded only when the student has completed all required elements of the course or workshop.
For certification, students must usually complete, where applicable:

Required online theory

Required in-person teaching hours

Required attendance
-
Written case study or written assessment
-
Practical assessment

Observational assessment or video assessment, where required

Any other required course-specific assessment
A student may complete the assessment process while on an approved payment plan, provided their account is up to date. Approval-related completion records will not be issued until all course fees have been paid in full.
Certification is not automatic and is not awarded solely for attending a course or workshop. The student must demonstrate that they have reached the required standard.
Certificates will not be issued where course fees remain unpaid.
A certificate confirms completion of the specified training only. It does not replace the student’s existing professional qualification, licence, registration, or insurance.
A certificate does not authorise the student to work outside their professional scope of practice or outside the laws, regulations, or insurance requirements that apply in their country, state, or region.
14. Assessment Completion and Certification Eligibility Policy
To ensure the integrity of The Aftercare Academy certification and to support safe clinical standards, all required assessments must be completed within the specified timeframe.
This may include written, observational, practical, case study, or practical video submissions.
Where a student does not meet the required standard during a workshop, The Aftercare Academy may provide feedback and allow the student to resubmit their written case study and/or practical assessment by video within 4 weeks of the final day of the workshop.
If the student successfully meets the required standard through reassessment within this timeframe, and all course fees have been paid in full, their Certificate of Completion will be awarded.
If requested, written, observational, or practical video assessments are not submitted within 4 weeks of the final day of the workshop, certification eligibility will lapse.
If certification eligibility lapses, the student may be invited to rejoin a future in-person workshop as a returning student at a reduced rate to refresh hands-on skills and regain certification eligibility.
This policy applies to all students to support consistency, fairness, and safe clinical standards.
Any further reassessment, additional feedback, repeat attendance, extension, or reduced fee option is entirely at the discretion of The Aftercare Academy.
15. Intellectual Property and Use of Materials
All course content and materials are protected by copyright and remain the property of The Aftercare Academy unless otherwise stated.

Students are granted a licence for personal educational use and professional reference only.
Materials must not be copied, reproduced, shared, uploaded, published, distributed, resold, adapted, licensed, used to train others, or used to create competing educational content without written consent from The Aftercare Academy.
Attendance at a course or workshop does not grant the student permission to teach, certify, license, or train other therapists in The Aftercare Academy methods, protocols, course content, or materials.
Students must not present themselves as instructors, representatives, trainers, or approved educators of The Aftercare Academy unless this has been agreed in writing.
Students must not use The Aftercare Academy name, logo, course title, manuals, slides, protocols, images, or materials in a way that suggests endorsement, partnership, approval, or instructor status unless written permission has been granted.
16. Photography, Video, Audio Recording, and Social Media
Training sessions may occasionally be photographed, filmed, or recorded for educational, promotional, website, social media, or business purposes.
By attending, students consent to the use of such media unless they notify The Aftercare Academy in writing before the course begins that they do not wish to be included.
The Aftercare Academy will not knowingly use a student’s full name alongside promotional images without permission.
Students must not record teaching sessions, practical demonstrations, live surgery observation, clinic sessions, patient demonstrations, student practice, or instructor teaching without prior written permission.
This includes audio recordings, video recordings, photographs, screenshots, livestreams, and social media content.
Students must not post images or information that identify other students, patients, surgeons, clinic staff, venues, or private clinical content without permission from all relevant parties.
Patient images, surgical images, and clinical content will only be used in accordance with patient consent, clinic policies, and applicable confidentiality requirements.
17. Complaints
Any concerns should be raised promptly with the tutor or with The Aftercare Academy in writing.
The Aftercare Academy will acknowledge written complaints within 7 days and aim to provide a full written response within 28 days.
18. Liability and Disclaimer
All training is delivered to maintain high professional and educational standards. However, the Aftercare Academy and its trainers accept no liability for any injury, loss, claim, complaint, professional issue, legal issue, insurance issue, or damage resulting from misuse of training, techniques, or materials.
Training does not constitute medical advice.
It is the student’s responsibility to practise safely and within their scope of practice, professional competence, insurance cover, and local legal or regulatory requirements.
The Aftercare Academy is not responsible for any issue arising from a student’s independent clinical practice after training.
Nothing in these Terms and Conditions excludes liability where it would be unlawful to do so.
19. Force Majeure
The Aftercare Academy is not liable for delays, cancellations, disruptions, or changes caused by events beyond its reasonable control.
This may include, but is not limited to, severe weather events, natural disasters, pandemics, strikes, transport disruption, government restrictions, venue closure, clinic disruption, surgeon or clinic unavailability, or other circumstances outside The Aftercare Academy’s control.
20. Lost Property
Students are responsible for their own personal belongings during training.
The Aftercare Academy accepts no responsibility for personal belongings lost, stolen, or damaged during training sessions, clinic visits, live surgery observation, venue attendance, or any related course or workshop activity.
21. Governing Law
These Terms and Conditions are governed by and construed in accordance with the laws of Northern Ireland, where The Aftercare Academy is based.
If training or workshops are delivered outside the UK, these Terms and Conditions may also need to comply with the local laws of the country, state, or region in which the training is held.
Any disputes shall be subject to the exclusive jurisdiction of the courts of Northern Ireland, unless local consumer protection laws require otherwise.
22. Updates to These Terms and Conditions
The Aftercare Academy reserves the right to update or change these Terms and Conditions at any time.
The version in force at the time of booking or purchase will usually apply to that booking or purchase unless changes are required by law, regulation, professional approval requirements, safety considerations, or operational necessity.
23. Student Purchase Agreement
By purchasing any training, workshop, course, retreat, online course, digital product, mentoring, or related service owned or delivered by The Aftercare Academy, you confirm that you have read, understood, and agree to these Terms and Conditions.
